Criteria of Trading
All stallholders MUST fall into at least one of the following categories:
1. The products being sold must be made / produced within the area. *
2. The food products being sold must be grown+ or made within the area*
3. If the initial product is not made within the area, part of, or the final product must be made within the area. *
4. The trader is independent and offers a service that is based within Oxford or an adjacent village (a photographer, for example).
5. An Oxford-based charity or community group who are NOT selling but being a part of the market as a promotional activity. If the relevant licence has been applied for and given then raffles are permissible. Proof of the licence being granted must be available when requested. A maximum of 1 pitch per market is allocated for this.
6. A trader selling a product which is not able to be produced within the area i.e. fresh seafood. The Management Team will judge any application from such a trader on an individual basis.
7. Quality products invited by the management team in order to boost the status of the market.

Terms & Conditions of Trading
1. Bookings are only confirmed at the end of a three-stage process. 1. application is sent in and accepted by us 2. Space and dates are agreed with us in writing 3. Invoice is sent and payment is received. We do not accept verbal bookings. If attending 3 or more markets in a month, Invoices will be issued twice monthly, if attending 2 or less markets in a month, 1 invoice per month will be issued. Payment is due via bacs by the due date given on the invoice which will be 14 days prior to the first market of the month, if payment has not been received a late payment fee will be added to subsequent invoice. Once a booking is made, a minimum of 14 days' notice is required for cancellation. If less than this, the pitch fees will still be payable. In the event that a market is cancelled or postponed due to reasons beyond our control (including but not limited to weather, pandemic etc) any payment made will be carried forward to a future booking. Also if a trader gives more than 14 days notice of cancelling a booking, any payment already made will be carried forward to a future booking. No refunds will be issued. In the event that a stallholder ceases trading and requires a refund of any fees already paid, we reserve the right to deduct a small administration fee. Once a booking is accepted / confirmed for a regular trading pitch, if a trader makes changes to the dates, we do not guarantee that the same pitch will be available.
2. Stallholders must provide us with a copy of a valid Public Liability Insurance certificate via email at least 2 days before their first market. Where applicable, food hygiene certificates also need to be supplied. “Scores on the doors” ratings must be displayed on stalls where applicable. It is the responsibility of each trader to ensure that they adhere to any regulations in respect of the product they are selling / equipment to be used. Any documentation must be provided if requested, this includes applying for a TEN if necessary. If you are a catering stall, appropriate fire extinguishers & first aid boxes must be present at the market.
3. All products sold must be produced locally (either grown or made locally). We also accept products where the final product or part of the product is manufactured locally. You can also be a locally based independent service provider. Please refer to the criteria of trading for confirmation.
4. The market will run between the hours of 10:00-14:00. Stallholders can set up stall from 07:00, last vehicle arrival is 9:30 and all vehicles must be removed from the market area no later than 09:45 and cannot return until authorised to do so. There is a maximum of 1 vehicle per trader. No trader is permitted to set up before 7:00 & all trading & cooking must cease at 14:00. All traders must be clear of the site no later than 15:30.
5. No trader is permitted to pack away & leave the market earlier than the stated time. Stalls must be fully packed down (except gazebo) before your vehicle can draw up for loading up.
6. Parking should be carried out legally and with due regard for other road users including pedestrians.
7. Stallholders are responsible for removal of all rubbish from your stall and appropriate disposal. Street bins provided by the local authority cannot be used for trade waste.
8. Stallholders must provide a name & contact number to be used in the case of an emergency during the operation of the market (injury, medical, personal need to leave the market early needing their stall to be manned). We are looking for details of a person who will NOT be present at the market with them.
9. At present we are not providing equipment as we do to other markets. Your own equipment must be of a robust, professional standard. When we make decisions about going ahead with a market in adverse weather conditions we base our decision on our own equipment's ability to stay safe in that situation. Garden gazebos, home made weights & other inadequate equipment may be refused permission to set up if we feel that it compromises the safety of the public or stallholders. There is NO access to any electric supply at the market, if you wish to bring a generator, ideally this needs to be silent, or agreed with the management team prior to attending.
10. “Open Air” stalls are not permitted (Unless prior agreement has been made) All gazebos MUST be fitted with appropriate weights at all times.
11. Specific requirements regarding positioning will be accommodated where possible but cannot be guaranteed. Any such requests must be discussed prior to the day. If you are a regular trader, you will be allocated the same pitch each time where possible, however there may be instances beyond our control where this is not possible. All pitches will be of one trading side & will be allocated by the management team in advance. Your stock & equipment will need to remain within your allotted space, keeping walkways clear at all times (including set up & pack down). Children also need to remain under your control.
12. All correspondence from us will be sent via email (including invoices), if an alternative method is required, a small administration charge may be applied. By returning an application form, you will be added to our database & will be sent details about future events.
13. Our management team reserve the right to turn down an application for a stall at the Summertown Sunday Market if they feel it is in the best interest of the Market or the community. We do not guarantee exclusivity, however similar products will be limited.
14. Our management team reserve the right to cancel a booking if a trader breaches any of these conditions.
15. Our management team reserve the right to amend or add to these terms & conditions if any new local or national regulations come into effect.
16. Abingdon Events Partnership accept no responsibility for any loss, damage or injury whilst attending the market.
17. These terms & conditions are applicable under the relevant United Kingdom law. Relevant courts of the United Kingdom have exclusive jurisdiction in relation to these terms & conditions.
